No Show / Cancellation Policy

At Healing Traditions Holistic Veterinary Clinic, our goal is to provide quality veterinary care to our patients in a timely manner. To be respectful of the needs of all our patients and clients we require 24 hours’ notice for cancelling or rescheduling appointments, to allow sufficient time to schedule another patient waiting to be seen by our veterinarians.

As a courtesy, our booking system will email you three days before your pet’s scheduled appointment to confirm, as well as text you one day before as an extra added reminder. If your appointment is not confirmed through our booking system, our reception team will give you a call one day before your appointment to confirm and remind you of your upcoming appointment time.

Cancellation of Appointment Short Notice Fees

We require that you call our clinic at 825-882-2282 or email at info@hthvc.ca to cancel appointments with our Reception Staff with a minimum of 24 hours’ notice. A non-refundable fee starting at $50.00* will be applied to your account when sufficient notice is not received.

Cancellation of Surgery Short Notice Fees

We require that you call our clinic at 825-882-2282 to cancel your surgical procedure with our Reception Staff with a minimum of 48 hours’ notice. A non-refundable fee starting at $50.00* will be applied to your account when sufficient notice is not received.

No-Shows Fees

When no-shows occur, it prevents other patients from getting access to medical care. To be respectful to the medical needs of our patients, we ask that you provide 24 hours’ notice to cancel or reschedule appointments. When sufficient notice to cancel or postpone is not received, and a client is not present for a scheduled appointment or surgery, a non-refundable fee starting at $50.00* will be applied to your account.

Multiple No-Show and Short Notice Cancellations Fees

When multiple no-shows and short notice cancellations occur, there will be a non-refundable fee starting at $50.00* applied to your account before your pet can be seen. Further, we may ask for pre-payment of the next appointment exam fee before scheduling another appointment.

Late for an appointment

If you are 10 or more minutes late for an appointment, you may be asked to reschedule. Each appointment is scheduled for 30 minutes or more to allow the Veterinarian to perform a thorough examination, medical testing and write medical notes for each patient. We kindly ask that you call our clinic at 825-882-2282 to let us know if you will be late for your appointment, so we can confirm if your pet can still be seen. Late appointments will still be charged the full exam fee regardless of duration of the appointment once arrival at clinic.

*Non-Refundable fee starting at $50.00 is based on the treatments or surgeries scheduled on the day of the “No-Show” or “Short Notice” Cancellation. These fees may vary at the discretion of the Doctors and Management staff at Healing Traditions Holistic Veterinary Clinic.
